Personalizing a List View in Infor CloudSuite FSM

In this how-to, RPI Principal Consultant Stephanie Marquez walks you through how to personalize an existing list view in Infor CloudSuite FSM, surfacing the information most relevant to your role without leaving the screen you’re already working on.

Personalizing a list view starts from the ellipsis menu within any list view in the system. Select “Personalize” and then “Edit” to open the list view editor. From there, choose “Add Field” and begin typing the name of the field you want to bring in. Finding the right field is often a process of elimination — if a field is related to a business class, you may need to use the advanced search options to locate it. Once you’ve found the right field, you can rename the label and drag it into the position you want within the list view.

After saving, always validate by running a search to confirm the field is returning the data you expect. You can continue adding fields the same way, and if you need to remove or hide a field, the same Personalize menu gives you those options as well.

The more tailored your views are to your day-to-day work, the less time you spend hunting for information across the system.

Hi, my name is Stephanie Marquez, Principal Supply Chain Consultant here at RPI Consultants. In today’s how-to video, we’re going to look at personalizing an existing list view within the system. Personalizing list views is typically one of those topics that we work with our clients during their implementation projects. We show them how to do it, everyone gets trained up, we go live, and then months later we can’t remember how to do it.

We’d like to share with you today those simple steps on how to personalize an existing list view. For our video today, I’m going to be working out of our contracts role. Go ahead and follow along from your application switcher, or navigate to an area within your system that you feel might be helpful. I’m going to go ahead and select Contracts.

From this list view, we can see that we’ve got some helpful information: our contract number, name, status, effective date, and expiration date. But at a glance, I want more information in this list view — I want to add my vendor. I’m going to go up to my ellipsis and select Personalize and Edit. That takes me into the list view editor where I’ll make my changes. I’m going to select Add, then Add Field, because we’re adding another field to the existing list view.

Now it’s helpful to know that a lot of this is really a process of elimination. We don’t always get it right the first time. Sometimes if it’s a field related to the business class, we may have to use the advanced search options. Here I can see “Vendor” and, based on my experience, I know that this is going to return the vendor number. I’m going to go ahead and select that.

The field is now added to the end of my list view. To reorder it, I can simply drag it into the position I want, then hit OK. We can now see the vendor field right in the middle of this list view. When I hit Search, the vendor number information returns as expected.

I’m going to take it one step further and go back to Personalize and Edit to add the vendor name. I’ll select Add Field again. This is another one of those areas where, through process of elimination, I know I’ll need some additional details. I’ll type in “vendor” since that’s what we’re looking for, then start typing in “name.” The system will automatically start to drill down. I believe it to be this one — vendor.vendor name — so I’ll go ahead and make that selection.

When I select the label, it defaults to the field name I brought in, but I want to rename it to simply “Vendor Name.” I’ll drag it up to sit right underneath the vendor number and hit OK. Again, we want to validate that it’s actually bringing in the data we’re looking for, so we’ll hit Search. We can now see both Vendor and Vendor Name right here in our list view.

Personalizing your list views is, as I mentioned, often a process of elimination — I encourage you to play around with it. If you think a field is related to the business class you’re working in, try the advanced search area. If there are additional changes or removals you want to make, you can do that the same way you made these original changes: go to Personalize, then Edit, Hide, or Remove — those options are all available to you.
