Hello everyone and thank you for joining OnBase 101 with RPI Consultants webinar. Just a little information about myself before we get started. My name is Cailen Myers. I am a senior consultant here at RPI. I have been designing, upgrading, supporting, and implementing OnBase for over 10 years now. I do have quite a few certifications for both OnBase and Epic, and I do specialize in the healthcare as well as EMR and ERP integrations. I am a mom to three Siberian Huskies, and if I get free time, I do enjoy some baking and scrapbooking. That is enough about me though. Let’s go ahead and get started.

Today I would like to do an introduction of OnBase. I do have a recorded demonstration of the OnBase unity client and then we can finish up with just a brief summary and any questions you may have. Let’s start with our introduction to OnBase. What is OnBase? Document imaging, case management, business process automation and data integration. One platform, unlimited potential. OnBase is the single enterprise information platform for managing content, processes and cases. OnBase has transformed thousands of organizations worldwide by empowering them to become more agile, efficient, and effective.

What does OnBase do? With OnBase, it’s easy to design solutions that meet your organization’s specific needs. OnBase is modular by design, allowing you to tailor your solution to the exact requirements. There are six categories below that we are going to discuss. OnBase speeds up processes and reduces costs by capturing important information into one system. It manages data documents and processes. It provides instant access to everyone who needs it. It can integrate with existing systems. It provides visibility into your processes and system performance and securely stores, protects and destroys your information.

OnBase capture is scanning, fax integration, importing, email import, indexing. There is many ways of capturing the information, it’s just what works best for you and your organization. OnBase capture solutions can be used in almost any business process, healthcare for EOBs, higher education maybe for transcript processing, insurance for claim processing, underwriting, or all industries have an account payable department, right? They can do accounts payable invoice processing, or maybe just general forms found in your HR department or your legal department, sales department.

Once you capture your document or information, how do you manage it? OnBase workflow is an automation engine and electronic routing system that enables organizations to process work faster and more efficiently. It is a rich set of point and click configurable rules and actions that allow business processes to be quickly automated with no need for custom programming. Workflow enables organizations to significantly decrease document processing time, increase staff productivity, and improve input storage and retrieval through a simple and flexible user interface.

The workflow approval management can be used within OnBase workflow. You do not need to use it though, but it is an option. It will accelerate document approval processing by allowing the business users to configure rules to evaluate documents and dynamically assign approvers. Ad hoc approval assignments can also be made at runtime and approvers can delegate their own assignments when they’re unavailable or out of the office. Additionally, approval hierarchies from existing business systems can be leveraged within workflow approval management to automatically manage assignments without any custom development.

The work view or case management is another option, which provides case workers with a 360 degree view of all information they need to drive the often unpredictable work that requires their knowledge and expertise. A complete toolkit enables the creation and rapid deployment of document aware case management solutions that are natively integrated with the OnBase suite of products. Organizations can eliminate other systems and methods such as spreadsheets or departmental databases. Whether managing service requests, resolving issues, qualifying opportunities, all these items can be used with the work view case manager product.

Business rule engine. The OnBase business rule engine for workflow allows organizations to quickly react to ever-changing business conditions. Decision makers can immediately alter production workflow to comply with changes in the organization policy that govern business processes. This ability to make on the fly changes to production workflow logic without having to rely on your IT resources will resort in process agility while still meeting business control and transparency requirements.

Manage, immediate entry, automate the evaluation, assisted decisions, predictable outcomes. Access. To access the data or the documents, you have client interfaces. Access to OnBase directly from other applications, email clients. You are able to extend OnBase to external audiences, mobile clients, offline and disconnected access, all different ways to get the access and documents you need at your fingertips when you need them.

Integrate. Streamline information access by integrating OnBase with key systems. OnBase integrates with your key applications via a variety of integration options. Measure business activity monitoring or reporting dashboards. Business activity monitoring enables real time visibility into OnBase workflow, providing immediate actionable information about the status and results of critical business processes. You’re able to quickly address problem areas and make better informed business decisions while continuously revealing opportunities for process improvement. The business activity monitoring provides a system of configurable portlets that are easily personalized into dashboards and access through the OnBase web clients, Microsoft SharePoint web pages and mobile access for iPads.

Reporting dashboards gives organizations immediate visibility into the system and business health. Users can create and share dashboards, highlighting business data most important to them without the need to engage any IT resources. Dashboards present data in a variety of graphical formats including charts, graphs, scorecards, gauges, maps, and more. Interactive features then allow users to easily monitor performance and analyze trends in real time. Dashboards can be accessed from the unity and web clients in addition to the standard web browser, including mobile browsers providing greater accessibility.

Storing your data and document, encrypted disk groups. 256-bit AES algorithm is used to encrypt documents stored in the OnBase disk groups. Encrypts existing documents in OnBase to further enhance and secure existing solutions. Automatically encrypts documents upon import in OnBase and unlimited use of encrypted disk groups allows organizations implement security as needed. OnBase can display documents in the native file formats. It has a document retention policy. Multiple copies can be made with backups and it does use single sign on if requested.

Now for the demonstration. Let’s review the items we discussed and any questions you may have. We talked a little bit about what OnBase is, capturing data, managing data, storing data, accessing data, integrating data. It can be used in so many different departments, organizations for any business process that you need. It does not look like we have any questions today, so I just would like to thank everybody for attending.
